Team Roles

What is it?

These are templates that can be turned into a document that outlines key activities and tasks in a specific milestone, for example 'Developing ideas', and highlights each team member's role and responsibilities within each.

Why and when should I use this?

Creating a document to outline roles and responsibilities is helpful to ensure clarity and manage expectations. It's a great tool to foster shared ownership and build team confidence. These templates break down what needs to be done and clarify each person’s involvement—whether as a core contributor, in a supporting role, or as a critical friend.

How much time should I spend on this?

15-30 minutes. This will vary depending on the size of your project team.

Who should I involve in this?

Use this with your project team.

How to use it...

  1. Gather your team members' preferences: The project lead should start by writing the activity headings for the given milestone you are focussing on. Ask project team members to assign themselves to what they are interested in and note if they are core contributor, a supporting role, or a critical friend. Make sure to set expectations by letting everyone know you will refine the roles according to what the project requires.
  2. Fill in the template: With the preferences gathered, the project lead will decide what roles everyone will take on and list what activities they will be responsible for in detail. This will serve as a reference to your team for the project, so ensure the written detail is comprehensive.
  3. Share back and discuss: Present the roles and activities template to your project team and ask if they are happy with it. Share a copy with all members so they can use it to prepare and stay on track with responsibilities.
